Circulation Department (User Services)

The Circulation Department is responsible for checking in and out items, managing the library's study carrels and rooms, and maintaining the library's photocopiers and microfilm machines. Information about the Circulation Department including explanations of policies and descriptions of services is provided below. Questions regarding circulation policies and services may be addressed to the circulation staff in person at the Circulation Desk on the first floor of Sterne Library or by telephone at 934-4338.

Patrons may also request and borrow books from participating academic libraries (ALLIES).

Borrowing Privileges

  1. Students, faculty, and staff with a valid UAB identification card may check out items.

  2. Students and faculty from the following colleges and universities may check out items with a valid identification card from their institution as a result of reciprocal borrowing agreements:

    • Auburn University
    • Bessemer State Technical College
    • Bevill State Community College
    • Birmingham Southern College
    • Jefferson State Community College
    • Lawson State Community College
    • Miles College
    • Samford University
    • University of Alabama
    • University of Alabama in Huntsville
    • University of Montevallo

  3. Members of the following groups may check out items with a current membership card:


  4. Courtesy cards may be issued at the discretion of the Head of User Services to patrons who do not fall into the previous categories. Courtesy cards may be issued under the following circumstances:

    • Advanced placement students from local high schools may be issued courtesy cards upon the request of the school they attend. The courtesy card will be good through May 15 of the academic year during which the card is issued.
    • UAB students not currently enrolled in classes but trying to fulfill a course requirement may be issued courtesy cards upon the request of their advisor, department head, or instructor of record. The courtesy card will be good for the school term during which the card is issued and is not renewable.
    • Temporary, part-time, or adjunct faculty who have not been issued UAB faculty identification cards and/or are not listed in the HURS system may be issued courtesy cards upon request of their department head. The courtesy card will be good for the period of their appointment not to exceed the end of the academic year.
    • Other patrons may be issued courtesy cards at the discretion of the Head of User Services

All items in Sterne Library may be used inside the Library. Please note that items marked * will be retrieved from our remote collection, normally within thirty minutes.

Loan Periods and Renewals

Renewing Items

Items may be renewed one time by UAB undergraduate students, graduate students, and staff as well as other borrowers and four times by faculty. Items may be renewed in person at the Circulation Desk, by telephone at 934-4338, or online. When renewing items by phone, please have your barcode number (located on the back of your ID) and the titles available.

To renew items online, follow the steps below:
  1. Go to the Sterne Library home page.
  2. Click on the "My Account" button.
  3. Enter your BlazerID and password.
  4. Click on the login button.
  5. Click in the renew box next to each item to be renewed.
  6. Click on the renew items button.
  7. Check the status box to verify that each item has been renewed. If you have problems renewing an item, please call the circulation staff at 934-4338.
  8. Click on the logout button at the top of the screen.

Fines for Overdue, Damaged, and Lost Items

BlazerBucks can be used to pay fines.

Audiovisual Materials $1.00 a day per item or a maximum of $25 per item
Books 25¢ a day per item or a maximum of $14 per item
In-Library Reserve Materials 5¢ a minute per item or a maximum of $50 per item
Overnight Reserve Materials $10.00 a day per item or a maximum of $50 per item
Study Carrel Keys 5¢ a minute per key or a maximum of $50 per key
Damaged Materials Cost of restoration (item by item assessment) plus a $25 processing fee per item damaged.
Lost Materials Current price of item or $60 if the item is out of print plus a $25 processing fee per item lost.
  Lost key replacement cost is $60.

Viewing Your Circulation Record

Viewing your circulation record displays information about the items you have checked out including due dates, fines you owe, and holds you have placed.

To view your circulation record, follow the steps below:
  1. Go to the Sterne Library home page.
  2. Click on the "My Account" button.
  3. Enter your BlazerID and password.
  4. Click on the login button.
  5. Click on the logout button at the top of the screen.

Holds on Checked Out Items

A hold may be placed on an item that is checked out. When the item is returned, you will be notified and given three days to pick up the item. If you do not do so within three days and no one else has requested a hold, the item is reshelved. A hold may be placed in person at the Circulation Desk or online.

To place a hold online, follow the steps below:
  1. Enter the local catalog.
  2. Display the record of the item to be held by performing a search and then clicking on the title (holds may be placed on checked out items only).
  3. Click on the request button at the top of the screen.
  4. Enter your BlazerID and password.
  5. Click on the login button.
  6. Select hold from the menu.
  7. Click on the OK button.
  8. Complete the hold request form.
  9. Click on the submit request button at the bottom of the screen.
  10. Click on the logout button at the top of the screen.

Searches for Missing Items

Occasionally, you may be unable to locate an item that the online catalog indicates should be available. If you fill out a search card at the Circulation Desk, the circulation staff will conduct a search for the missing item and contact you if the item is found.

Course Reserve Materials

Instructors may place books and photocopies on reserve for a class by filling out a course reserve request form stating appropriate loan periods and restrictions to ensure access by all students. This form may be filled out in person at the Circulation Desk or using an electronic form. Items to be placed on reserve may be part of the library's existing collection or instructors may place personal items in the library.

Reserve materials are available at the Circulation Desk and may be checked out with a valid UAB identification card. The call number of each item must be given to the circulation staff for retrieval purposes at the time of check out. Most reserve materials may be checked out for a short time only and must be used in the library but some may be checked out overnight. The loan periods are set by the instructors when the items are placed on reserve.

More about Course Reserve

To find the call number for an item that has been placed on reserve, follow the steps below:
  1. Enter the local catalog.
  2. Click on the course reserves button.
  3. Select the name of the instructor and/or the name of the course from the pull down menus.
  4. Click on the search button.
  5. Click on the title to display the call number.
  6. Write down the call number for each item that you wish to check out (example: XP 324 B).
  7. Bring the call number(s) to the Circulation Desk on the first floor.

Group Study Rooms, Conference Rooms, and Study Carrels

Group Study Rooms (capacity 6 - 8 people)

The Library has a limited number of group study rooms. Current UAB students, faculty, staff and active alumni who are seeking a place to hold short-term collaborative study sessions may use group study rooms.

  • Group study rooms cannot be reserved in advance.
  • Group study rooms are available on a first-come, first-served basis.
  • Group study rooms may be checked out for a period of three hours. No renewals.
  • Groups must vacate the room when the key is due and turn in the key at the circulation desk. If rooms are available, groups may check out another room.
  • When group study rooms are not available, groups may place a student's name on the waiting list and:
    • remain in the circulation area to hear when his or her name is called; otherwise the next name on the list will be contacted; OR
    • place a cell phone number on the waiting list and indicate that they wish to be sent a text message; otherwise the next name on the list will be contacted.
  • When individuals are on the waiting list, the group is given five (5) minutes to return to the desk when contacted that a room is available.
  • At least two (2) individuals must be present at the circulation desk to check out a key. Only one UAB ID is required.
  • Keys to group study rooms much be checked out with a valid UAB ID card.
  • At least one (1) individual must be in the room at all times.
  • Groups not actively using the room must return the key to the circulation desk.
  • Overdue fine is $3.00 per hour ($0.05 per minute).
  • Groups must return the key to the circulation desk when they leave the group study room
  • Keys may NOT be taken outside the Library.
  • Keys may NOT be taken in to Starbucks.
  • Group study rooms users must maintain a moderate noise level -- rooms are not soundproof, and loud talking disturbs other individuals studying in adjoining rooms and/or those studying outside of the rooms.
  • Walls, furnishings, and glass must not be defaced. No pictures or other items may be attached to the walls or structure. Windows and/or door glass must not be covered in any way.
  • Groups must clean up after themselves and leave the room in good condition for the next group, including erasing the board.
  • Groups are not allowed to sleep in the rooms at any time.
  • Loss of a key will incur a replacement charge of sixty dollars ($60).
  • The maximum fine for a key being returned late is fifty dollars ($50).

Failure to follow the above policies, or other applicable Library policies, may result in a temporary or permanent suspension of access to the group study rooms. In addition, patrons who fail to follow the policies risk being blocked in Banner (students blocked in Banner cannot register for classes, nor graduate, nor receive a transcript).

Conference Rooms (7 or more people up to room capacity)

Room 182 (Dean's Conference Room) is available to larger groups of students who wish to meet for group study sessions. Room 182 is available on a first-come first-served basis and cannot be reserved in advance by study groups.

Room 182 is available only when no conflict exists with other events scheduled for the room. Study groups will be informed of any conflicts in scheduling and asked to vacate the conference rooms 15 minutes prior to the next scheduled booking.

Permission and access to Room 182 will be granted as follows:

  • Monday-Friday, 8:00 A.M. - 5:00 P.M. --- Administrative Office Staff (Room 172)
  • After 5:00 P.M. and on weekends --- Reference Librarian on duty (inquire at 1st Floor Information Desk)

Room 182 cannot be used by fewer than seven people, or by a greater number of people than room capacity will allow. (Capacity for Room 182 is 20.)

Study Carrels

Policies and rules for study carrels

The Library has a limited number of short- and long-term study carrels available throughout the building. Study carrels may be checked out with a valid UAB identification card at the Circulation Desk. Study carrels are limited to one person, except for those on the second floor which may be used by two people.

Short-Term Study Carrels

Current UAB students, faculty, staff, and active alumni who are seeking a place for intensive short-term study may use carrels. Carrels may be checked out for a period of three hours and renewed once. Overdue fines will be charged at five cents a minute which is three dollars ($3) per hour. Short-term study carrels cannot be reserved in advance.

Long-Term Study Carrels

Long-term carrels are available to current UAB graduate students, students with disabilities, and faculty. Graduate students and students with disabilities have carrel assignments for one semester. Faculty carrel assignments expire at the end of the summer semester following assignment but may be recalled earlier if demand requires. Overdue fines will be charged at a rate of ten dollars ($10) per day. One semester must elapse between carrel assignment periods.

A completed Library Carrel Application form is required to check out a long-term carrel. This form may be picked up in person at the Circulation Desk, or it may be printed.

Printing and Photocopying

UAB Campus Cards can be used for printing and copying.
  • You can put BlazerBucks on your UAB CampusCard.
  • You can add money to your card at the Value Transfer station located near the Sterne Library circulation desk, or online at https://campuscard.uab.edu/SignIn.asp.
 
Guest Cards for copying and printing are available to everyone.
  • Anyone can purchase a Guest Card.
  • To print or make copies, you will need to both purchase a Guest Card for $1.00 and then add money to the card. You can do this at the Value Transfer station located near the Sterne Library circulation desk.
 
Current Prices
Photocopies (black-and-white only) are 9 cents each.

The prices for print-outs are:

Refunds
Refunds are available for bad copies up to a reasonable amount.
